These terms and privacy information explain how Butterfly Interactive can be used, and how we collect, use, store and protect personal data across our website, platform and interactive experiences.

2. General terms of use
These general terms apply to use of the Butterfly Interactive website, platform and interactive experiences, unless a separate written agreement says otherwise.
- Butterfly Interactive provides interactive storytelling, training and learning tools for organisations, educators, trainers and teams.
- Access to the platform or an interactive experience may be provided directly by Butterfly Interactive or through an organisation, client, school, NGO, public authority or company.
- Users must use the platform responsibly and must not attempt to misuse, disrupt, copy, reverse engineer or gain unauthorised access to the platform, content, data or systems.
- Project-specific terms, commercial agreements, data processing agreements or client contracts may apply in addition to these general terms.
3. Client and project responsibilities
Butterfly Interactive is often used in client-specific training contexts. In those cases, the exact setup may depend on the client, the audience, the training purpose and the agreed project requirements.
- Clients are responsible for ensuring that their use of Butterfly Interactive is appropriate for their participants, training context and legal obligations.
- Clients are responsible for the content, users, access rights and project settings they request or configure, unless otherwise agreed in writing.
- Where a client provides access to an experience, the client is responsible for informing users about the purpose of the training, whether data is collected, who can see results and how the data will be used.
- Butterfly Interactive may adapt technical, privacy and security settings to suit specific projects, especially where sensitive, defence, humanitarian or public-sector contexts are involved.
4. Content and intellectual property
Unless otherwise agreed in writing, Butterfly Interactive and its licensors retain ownership of the platform, software, design systems, templates, methods, documentation and underlying technology.
Client-specific content, footage, scripts, materials and project assets may be owned by the client or licensed for the specific project, depending on the relevant agreement.
Users and clients may not copy, resell, redistribute or reuse Butterfly Interactive materials outside the agreed purpose without written permission.
5. Availability and changes
We aim to keep the platform reliable and available, but no digital service can be guaranteed to be available at all times.
Butterfly Interactive may update, improve, suspend or change parts of the website, platform or services where needed for maintenance, security, product development or legal reasons.
6. Liability
Butterfly Interactive provides tools for learning, reflection and training. The platform does not replace professional judgement, legal advice, operational command, medical advice or other specialist decision-making.
Learning analytics are intended to support reflection, training and evaluation. They should not be treated as the sole basis for important decisions about a person.
7. Our privacy role: data controller or data processor
Depending on how Butterfly Interactive is used, our role may vary.
For our website, business communication, sales, support and general platform administration, Butterfly Interactive ApS will normally act as the data controller.
For interactive learning experiences provided by an organisation, client, school, NGO, public authority or company, Butterfly Interactive may act as a data processor on behalf of that organisation. In those cases, the organisation decides the purpose of the experience, who gets access, what data is collected and how long it should be kept.
Where required, Butterfly Interactive will enter into a Data Processing Agreement with the organisation using the platform.
8. What data we collect
The data we collect depends on how you use Butterfly Interactive and how the specific experience has been configured.
- Basic user information, such as name, email address, organisation, role, login details, or assigned group/team
- Experience and learning data, such as choices made, scenes completed, time spent, completion status, confidence scores, reflection answers, written responses, quiz answers, scenario paths, and other training-related inputs
- Analytics data, such as interaction patterns, page views, feature usage, session activity, progress through an experience, and aggregated learning insights
- Technical data, such as browser type, device type, operating system, IP address, approximate location, error logs, and security-related data
- Communication data, if you contact us for questions, sales, support or project communication
- Client and account data, such as contact details, billing information, administrator accounts, project information and support history
9. How we use data
We use personal data to:
- Provide access to the Butterfly Interactive platform
- Deliver interactive experiences and learning scenarios
- Track progress, completion and participation where enabled
- Support trainers, administrators and organisations
- Provide learning analytics and aggregated insights
- Maintain, secure and improve the platform
- Troubleshoot errors and provide support
- Communicate with clients and users
- Manage contracts, billing and administration
- Comply with legal obligations
We do not sell personal data.
10. Analytics and training insights
Butterfly Interactive may provide organisations with analytics related to how users interact with an experience.
- Choices made during an experience
- Completion status
- Time spent on decisions or scenes
- Confidence or reflection inputs, where enabled
- Aggregated patterns across groups
- Indicators that help trainers understand how participants respond to scenarios
The purpose of this data is to support learning, reflection, training, evaluation and after-action review.
Where possible, data is shown in aggregated or anonymised form. In some projects, organisations may choose to collect identifiable data, for example if completion tracking, certification, trainer follow-up or formal reporting is required.
11. Anonymous and pseudonymous use
Some Butterfly experiences may allow users to participate without creating a personal account, for example through a private link, nickname, random username or anonymous session.
Even where users are not directly identified by name, some technical or interaction data may still be processed to make the experience work, protect the service and provide aggregated insights.
12. Children and young users
Butterfly Interactive may be used in educational or youth-facing contexts.
Where an experience is aimed at children or young users, the organisation providing access to the experience is responsible for ensuring that the appropriate legal basis, notices, permissions and safeguards are in place.
Butterfly Interactive does not knowingly collect personal data from children outside the scope of an organisation-approved learning experience.
13. Legal basis for processing
When Butterfly Interactive acts as data controller, we process personal data based on one or more of the following legal grounds: consent, performance of a contract, legitimate interest in providing, securing and improving our services, and compliance with legal obligations.
When Butterfly Interactive acts as data processor, we process personal data according to the instructions of the organisation using the platform.
14. Data sharing, sub-processors and service providers
We only share personal data when necessary. This may include sharing data with the organisation that provided access to the experience, trainers, administrators, trusted service providers, professional advisors or authorities if required by law.
Butterfly Interactive may use third-party service providers to operate the platform, such as hosting, database, authentication, analytics, video delivery, email and infrastructure providers.
Where Butterfly Interactive acts as a processor, these providers may act as sub-processors. We aim to ensure that appropriate agreements and safeguards are in place. A list of relevant sub-processors can be provided to clients where required.
15. European vendors and project-specific privacy setup
Butterfly Interactive aims to use European vendors and service providers where possible, especially for hosting, infrastructure, analytics and other core platform services.
For projects with heightened privacy, security or confidentiality requirements, including defence, humanitarian, public sector or other sensitive training contexts, we can adapt the technical and privacy setup to the needs of the specific client and use case.

The exact setup will depend on the client, the purpose of the training, the sensitivity of the content and the agreed project requirements.
16. International data transfers
Some service providers may process data outside Denmark or the EU/EEA.
Where this happens, we aim to ensure that appropriate safeguards are in place, such as EU Standard Contractual Clauses or other legally recognised transfer mechanisms.
17. Data storage and retention
We keep personal data only for as long as necessary for the purpose it was collected.
Retention periods may vary depending on the specific project, the client agreement, legal requirements, support and security needs, and whether data is needed for reporting, completion tracking or learning analytics.
When data is no longer needed, it will be deleted, anonymised or returned according to the relevant agreement. Clients may request specific retention periods for their projects.
18. Security
We use technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration and destruction.
These measures may include access controls, secure hosting, authentication, encryption where appropriate, logging, backups and internal procedures.
No system is completely secure, but we work to ensure that privacy and data protection are considered throughout the platform.
19. AI and automated processing
Butterfly Interactive may use AI-assisted tools in parts of our workflow or platform development. Where AI features are used in a specific client project, this should be described in the relevant project setup or agreement.
Butterfly Interactive does not use automated decision-making that produces legal or similarly significant effects on users without a clear basis and appropriate safeguards.
20. Cookies and similar technologies
Our website and platform may use cookies or similar technologies to improve functionality, understand usage, support secure access and maintain sessions.
Cookies may be used for essential platform functionality, login and security, analytics and performance, and user preferences.
Where required, we will ask for your consent before using non-essential cookies.

If your data is processed as part of an organisation-provided experience, we may need to refer your request to that organisation, as they may be the data controller.

The latest version will always be available on our website.
